Privacy policy
Last updated: 23 October 2026
The short version
- We only collect what we need to run the site, the shop and the PKS Training Club.
- Analytics only runs if you say yes in the cookie banner. Say no and you're not tracked.
- Your run planner progress stays on your phone. We never see it.
- We never sell your data. Not to anyone, not for anything.
- Questions, or want your data deleted? Email hello@pksruns.com and Paul will sort it.
That's the gist. The rest of this page is the detail, written as plainly as we can manage. It's still a privacy policy, so pop the kettle on.
Who we are
PKSRUNS (pksruns.com) is run by Paul Kingsley-Smith, a sole trader trading as PKSRUNS Coaching & Consultancy, based in Bridgwater, Somerset, UK. Paul is the "data controller" for the personal data described here, which means he decides how it's used and is responsible for looking after it.
This policy covers pksruns.com, the PKS Training Club (hosted on Circle at pkstraining.club), the PKSRUNS shop, 1:1 coaching and messages sent to @pksruns. It follows UK data protection law (the UK GDPR and the Data Protection Act 2018) and the Privacy and Electronic Communications Regulations (PECR) for cookies.
What we collect and why
What we hold depends on what you do. If you just read the blog, it's very little.
| When you… | What we collect | Why, and our legal basis | Who helps |
|---|---|---|---|
| Browse the site | Your IP address, browser and device details, and the pages you request | To show you the site and keep it secure. Legitimate interests. | Squarespace (hosting), Google Fonts and Adobe Fonts (text styles) |
| Accept analytics cookies | Pages viewed, how you arrived, rough location (city level), device type, scrolling and which buttons you click (for example "Get on the list" or a share button). Not your name or email. | To see what's useful and what isn't. Consent, which you can withdraw any time. | Google Analytics, Squarespace Analytics |
| Join the Training Club waiting list | Name and email | To tell you when the doors open and about your founding place. Consent. Unsubscribe any time. | Circle |
| Become a Club member | Name, email, profile details, payment details (handled by the payment provider, not seen by us), and anything you post, log or message in the Club | To run your membership and the community. Contract. | Circle and its payment provider |
| Take on 1:1 coaching (when it opens) | Your goals, training, lifestyle and nutrition details, and any health information you choose to share | To coach you safely. Health details are "special category" data, so we only use them with your explicit consent, which we ask for before coaching starts. Only Paul sees them. | Circle (a private, hidden space) |
| Buy from the shop | Name, email, phone, billing and delivery address, order details. Card details go straight to the payment provider. | To take payment, make and deliver your order, and handle returns. Contract. We keep order records for tax. Legal obligation. | Squarespace Commerce, Squarespace Payments (Stripe for payments, Sift for fraud checks), Google Places (address suggestions at checkout), Tapstitch (makes and ships the products) |
| Leave items in your basket | Email (if you entered it at checkout) and basket contents | One reminder email within 24 hours. Legitimate interests. Unsubscribe link in the email. | Squarespace |
| Use the contact form | Name, email and your message | To reply to you. Legitimate interests. | Squarespace |
| Sign up for emails | Name and email | To send the emails you asked for, such as the run planner emails. Consent. Unsubscribe link in every email. | Squarespace Email Campaigns |
| Comment on or like a blog post | Your name (shown with your comment), and optionally your email and website. For likes, device and IP details to stop double-liking. | To publish your comment and reply. Legitimate interests. | Squarespace |
| Message @pksruns or comment a keyword on Instagram | Your Instagram username and the messages you send | To reply, and to send you the link you asked for (for example "Comment FUEL"). Legitimate interests. | Meta (Instagram), ManyChat |
| Share a page | Nothing for us. The service you share to (WhatsApp, Facebook, LinkedIn or email) gets the page link and whatever it normally collects. | Only happens when you tap a share button. | The service you choose |
| Watch a race video | YouTube receives your IP and device details when thumbnails load, and more once you press play | To show the video. Videos use YouTube's privacy-enhanced mode and only load when you press play. Legitimate interests. | Google (YouTube) |
Things that stay on your device
- The run planner saves your ticked runs, calendar choice and voice setting in your browser (local storage), so it remembers where you got to. It's never sent to us. Clear your browser data and it's gone.
- The fuel check on the under-fuelling post works out your result in your browser. Your answers aren't sent or stored. If you've accepted analytics, we only record which result band appeared, not your answers.
- The live Strava numbers (the "Last run" pill and the homepage stats) show Paul's own training. Your browser fetches them from our small service on Cloudflare, which sees your IP address like any web server does. No cookies, nothing stored about you.
We don't use your data for automated decisions about you, and we don't buy data about you from anyone else.
Cookies and analytics
Cookies are small files a website saves on your device. Some are needed for the site to work. Others, like analytics, are optional, and UK law says we need your permission first. That's what the cookie banner is for.
| Type | What it does | Examples | Your choice |
|---|---|---|---|
| Essential | Keeps the site secure, remembers your basket and your cookie choice | Squarespace cookies such as crumb, ss_cvr, ss_cookieAllowed | Always on. The site can't work without them. |
| Analytics | Tells us how the site is used, so we can improve it | Google Analytics _ga and _ga_* (last up to 2 years), Squarespace analytics cookies | Only if you click Accept. Decline and they're never set. |
| Your own tools | Remembers your run planner progress | Browser storage pksStartRunV1 | Only used when you use the planner. Stays on your device. |
Changing your mind: use the cookie preferences button at the bottom of the screen at any time. If you decline, Google Analytics may still receive a basic signal that a visit happened, with no cookies and nothing that identifies you. Google calls this "consent mode" and uses it to estimate total visits.
Google Analytics is set so it doesn't store full IP addresses, and we keep analytics data for 14 months. You can also install Google's opt-out browser add-on.
For the full list of Squarespace cookies, see the cookies Squarespace uses.
Who we share it with
We never sell your data, and we don't share it for anyone else's marketing. We only use trusted services that help run PKSRUNS, and they may only use your data to do that job for us:
- Squarespace: website, shop, forms, comments and emails. Privacy policy
- Stripe and Sift: payments and fraud checks, via Squarespace Payments. Stripe · Sift
- Tapstitch: makes and posts shop orders. Tapstitch
- Circle: the Training Club, waiting list and coaching space. Privacy policy
- Google: Analytics, Fonts, YouTube and address suggestions at checkout. Privacy policy
- Adobe Fonts: text styles. Privacy policy
- Meta and ManyChat: Instagram messages and automatic link replies. Instagram · ManyChat
- Cloudflare: runs the service behind the live Strava numbers. Privacy policy
We may also share data if the law requires it, for example with HMRC, or to protect someone's safety.
Data outside the UK
Several of these services are based in, or store data in, the US or elsewhere. When data leaves the UK, it's protected by the UK's approved safeguards: the UK Extension to the EU-US Data Privacy Framework, or the UK's International Data Transfer Agreement or Addendum to the EU standard contractual clauses.
How long we keep it
| Data | Kept for |
|---|---|
| Shop orders and payment records | 6 years after the end of the tax year they relate to (HMRC rules) |
| Club membership | While you're a member, then deleted within 12 months of leaving, apart from payment records kept for tax |
| Coaching notes and health details | While you're coached, then deleted within 12 months of finishing, unless you ask for them sooner |
| Waiting list and email sign-ups | Until you unsubscribe, or 2 years with no activity |
| Contact form messages and DMs | Up to 2 years |
| Blog comments | Until you ask us to remove them, or the post is taken down |
| Google Analytics data | 14 months |
Keeping it safe
The site runs on HTTPS, admin accounts are protected with strong passwords, and secret keys live only in secure server settings, never in the website code. We collect as little as we can. No system is perfect, but if something ever went wrong with your data, we'd tell you and the ICO when the law requires it.
Your rights
You can ask us to:
- Show you the personal data we hold about you (access)
- Correct anything that's wrong
- Delete your data, where we don't need to keep it for legal reasons
- Limit how we use it, or object to us using it, including for any marketing (we'll always stop marketing)
- Send your data to you or another service in a common format (portability)
- Withdraw consent any time, for emails, analytics or coaching health data. It's as easy to say no as it was to say yes.
Email hello@pksruns.com. It's free, and we'll reply within one month. We may ask you to confirm who you are first, so we don't hand your data to someone else.
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
Children
The site isn't aimed at children under 16, and the Training Club and coaching are for adults (18 and over). We don't knowingly collect data from children. If you think a child has given us their details, email us and we'll delete them.
Changes to this policy
If we change how we use your data, we'll update this page and the date at the top. For big changes, we'll tell Club members and email subscribers directly.
